This Privacy Policy explains how Mosaic Association Events LLC("Mosaic," "we," "us," or "our") collects, uses, shares, and protects information when you use the Mosaic platform and related services (the "Service"). By using Mosaic, you agree to the practices described here.
Platform Independence
Mosaic Association Events is an independent platform and is not affiliated with, endorsed by, or operated by any association, organization, or LinkedIn unless explicitly stated.
1. Information We Collect
We collect information you provide directly, information generated by your use of the Service, and limited technical information from your device.
Account & profile information:
- Name
- Email address
- Company
- City
- State
- LinkedIn URL
- Profile image / headshot (optional upload)
Subscription & billing information:
- Membership tier (FREE, PLUS, PRO) and billing cycle (monthly or annual)
- Subscription status, renewal date, and promotional code redemptions
- Payment metadata returned by Stripe (such as the last four digits and brand of the card). Mosaic does not store full credit card numbers.
Activity on the Service:
- Login activity (sign-in count, last login date, account creation date)
- Associations you follow
- Event registrations and "Interested" selections
- Attendance selections and visibility preference
- Association suggestions, feedback, and support requests
- Sponsorship inquiries
Technical & analytics information:
- Device, browser, and operating system information
- IP address and approximate location derived from it
- Pages viewed, features used, referring pages, and timestamps
- Diagnostic and error logs
2. Why We Collect This Information
We collect information to:
- Provide and operate the Service (accounts, follows, calendars, registrations).
- Process subscriptions, promotional codes, and trials through Stripe.
- Send transactional and notification emails (welcome, approvals, support replies, billing confirmations, broadcasts you've opted into).
- Personalize your experience and recommend relevant associations and events.
- Power optional community features and attendee visibility.
- Improve the Service, prioritize new features, and fix bugs.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations.
3. What Stays Private vs. What Can Become Visible
Always private to you and our team:
- Email address — email addresses are never shown publicly to other Mosaic members.
- Billing and Stripe payment metadata
- Login activity and analytics data
- Support requests, feedback content, and sponsorship inquiries
- Internal admin notes and account flags
Only visible if you opt in to public attendee visibility:
- Your full name
- Your company
These fields are shown to other Mosaic members only on events where you have selected "Registered" or "Interested" and only if you have turned on public attendee visibility in your profile. Public visibility is off by default.
4. Professional Member Profiles
Members may choose to create a Professional Member Profile. A profile may include your name, company, city and state, a profile photo or initials, a LinkedIn profile link, and the associations you follow.
You control whether your profile is visible to other members. Profile visibility can be turned on or off at any time from your account. When visibility is off you remain private and no personal profile information is displayed to other members.
Public Profile Visibility. If enabled, eligible members may view your profile in accordance with their membership level. If disabled, the member remains private and no personal profile information is displayed.
5. Event Attendance & Attendee Visibility
Mosaic includes optional community features that show which Mosaic members are attending an event. Members who enable public visibility may appear in attendee lists according to their membership permissions. Members who do not enable public visibility remain private and are reflected only in an aggregate count (for example, "5 Mosaic private members"). Private members will never have identifying information exposed. Email addresses are never shown publicly.
You can change this setting at any time. Turning visibility off removes your name and company from attendee lists going forward.
5a. LinkedIn
Members may optionally provide a LinkedIn profile URL. LinkedIn links are supplied solely by the member. Mosaic is not affiliated with, endorsed by, sponsored by, or operated by LinkedIn Corporation. LinkedIn is a registered trademark of LinkedIn Corporation. Mosaic simply provides a link to the member's publicly supplied profile.
5b. Associations
Association names, logos (where authorized), websites, event links, and publicly available event information remain the property of their respective organizations. Mosaic aggregates publicly available association event information for discovery purposes and does not claim ownership of association content.
5c. Professional Development & Attended Event History
Mosaic includes an optional Professional Developmenttracker and a permanent Attended Event History. Both are provided as personal record-keeping tools for members' organizational convenience.
What Mosaic collects when you use these features:
- Manual Professional Development entries you create, including activity name, provider, date, credits, credit type, certification program, and any notes you enter.
- Professional Development credits automatically generated when you mark a Mosaic event Attended and choose to log a credit for it.
- Your permanent Attended Event History — a private, member-owned record of events you have marked Attended, retained even after the underlying event leaves Mosaic's public calendar.
- User-entered education records including any provider, program, and note fields you complete.
Visibility & member control:
- Professional Development records and Attended Event History are private by default. Only you and Mosaic's operations team can see them.
- PRO members may enable an optional public display of their Professional Development credits on their public Professional Member Profile. Personal notes are never shown publicly. This visibility toggle is off by default and can be changed at any time from your account settings.
- Your public Professional Member Profile is only visible when you turn on Public Profile Visibility. Turning either toggle off removes the corresponding information from public view going forward.
Association logos on public profiles. When you follow an association whose logo has been uploaded to Mosaic by our team, the logo may be displayed on your public Professional Member Profile alongside the association's name. Association names, logos, and marks remain the property of their respective organizations and are used for identification only.
Not an official record. Mosaic does not certify, verify, approve, validate, audit, or guarantee any continuing education credits or professional certifications. Official education records and certification requirements remain with the issuing association, certification body, employer, or education provider.
5. Payments & Stripe
All paid memberships are processed by Stripe. When you subscribe or redeem a promotional code that requires payment details, your card information is collected and handled directly by Stripe under its own terms and privacy policy. Mosaic receives only limited metadata from Stripe (such as subscription status, plan, renewal date, and the last four digits and brand of the card) and does not store full credit card numbers.
6. Cookies & Analytics
Mosaic uses cookies and similar technologies (such as local storage) to keep you signed in, remember your preferences, and understand how the Service is used. We may use first-party and trusted third-party analytics tools to measure aggregate engagement and improve the product. You can control cookies through your browser settings; disabling them may affect parts of the Service.
7. Email Notifications
We send transactional and account emails (such as welcome emails, association approvals, billing confirmations, support replies, and administrative notices) that are necessary to operate your account. We may also send product update or broadcast emails ("What's New in Mosaic"); you can opt out of non-essential broadcasts by following the unsubscribe instructions in those emails.
8. How We Share Information
We do not sell your personal information. We share information only:
- With service providers that help us run Mosaic — including Stripe (payments), our hosting and database provider, our email delivery provider, and our event scraping and analytics providers — under contracts that require them to protect your information.
- With other Mosaic members, only as described in the Social Features section above, and only when you have opted in.
- For legal reasons, when we believe disclosure is required by law, subpoena, or other legal process, or is necessary to protect the rights, safety, or property of Mosaic, our members, or the public.
- In a business transfer, such as a merger, acquisition, financing, or sale of assets, in which case information may transfer to the successor entity subject to this Policy.
9. Data Retention
We retain account, profile, and activity information for as long as your account is active and as needed to provide the Service. We may retain limited information after account deletion for legitimate business purposes such as billing records, fraud prevention, dispute resolution, and compliance with legal obligations. Aggregated or de-identified data (which cannot reasonably identify you) may be retained indefinitely.
10. Security
We use reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, role-based permissions, audit logging, and row-level security on our database. No system is perfectly secure, however, and we cannot guarantee absolute security. Please use a strong, unique password and notify us promptly if you suspect unauthorized access to your account.
11. Your Rights & Choices
You can:
- View and update your profile information at any time from your account.
- Turn public attendee visibility on or off.
- Cancel your subscription from the billing page.
- Request a copy of the personal information we hold about you.
- Request correction or deletion of your account and associated personal information.
To exercise any of these rights, contact us using the information below. We will respond within a reasonable time and as required by applicable law. Some information may need to be retained as described in "Data Retention."
12. Account & Data Deletion
You can request deletion of your account and associated personal data by using the in-app support form or by emailing us. After verification, we will delete or anonymize your personal information, subject to the limited retention described above (for example, billing records required for tax and accounting purposes).
13. Association Content & Third-Party Sites
Mosaic aggregates event information from association websites and other public sources. Association names, logos, event details, websites, and registration links remain the property of their respective organizations. When you click through to an association website, registration page, payment processor, or calendar provider, you are subject to that third party's terms and privacy practices, which we do not control.
14. Event Information Disclaimer
Although we make every reasonable effort to keep event information accurate and current, event details (such as dates, times, locations, pricing, registration links, and cancellations) can change at any time. You should always verify event details directly with the hosting association before registering or attending. Mosaic is not responsible for changes made by third-party organizations.
15. Sponsors
Any sponsor listings shown on Mosaic are paid promotional placements. Sponsorship does not constitute an endorsement of a sponsor's products or services. We do not share your personal information with sponsors unless you explicitly choose to contact them through a sponsor-specific form or link.
16. Children's Privacy
Mosaic is intended for professional members and is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided information to Mosaic, please contact us and we will take appropriate steps to delete it.
17. International Users
Mosaic is operated from the United States. If you access the Service from outside the U.S., you understand that your information will be transferred to, stored, and processed in the United States and other jurisdictions where our service providers operate.
18. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice (such as an in-app message or email). Your continued use of the Service after the updated Policy takes effect constitutes your acceptance of it.
